Retreats Collective honors every one as an individual and unique. As such, you are deserving of receiving the best quality experience possible. We are committed to creating a space of safety and respect that will acknowledge and allow each individual’s innate equanimity, truth, empathy and joy to grow.
We kindly ask you to read these Terms & Conditions carefully before registering.
By booking a Retreats Collective retreat and/or participating in the retreat, you acknowledge that you have read and accepted these Terms & Conditions, together with the applicable booking and travel conditions provided by Vawanda.
Retreats Collective & Vawanda
Retreats Collective designs, hosts and facilitates the retreat experience.
The travel package is proposed and sold through Vawanda SAS, a French registered travel operator, registered with the Registre des Opérateurs de Voyages et de Séjours under Atout France registration number IM075200017, with financial guarantee provided by APST and professional liability insurance provided by Hiscox France.
The booking and sale of the travel package are subject to Vawanda’s Terms & Conditions.
Vawanda’s Terms & Conditions govern the contractual sale of the travel package and, where applicable, matters including booking, payment, cancellation, amendments, refunds and statutory traveller rights.
These Retreats Collective Terms & Conditions govern the participant’s relationship with Retreats Collective and the conditions of participation in the retreat, including health and safety requirements, conduct, participation in activities, retreat rules and use of the retreat environment.
Where there is any inconsistency between these Terms & Conditions and Vawanda’s Terms & Conditions concerning the sale or performance of the travel package or statutory traveller rights, Vawanda’s Terms & Conditions and applicable law shall prevail.
Nothing in these Terms & Conditions is intended to exclude or restrict any statutory rights that cannot lawfully be excluded or restricted.
Booking & Confirmation
Bookings for Retreats Collective retreats are processed in partnership with Vawanda.
A booking is not considered confirmed until the guest has received the relevant confirmation and has complied with the applicable booking and payment requirements.
Guests are responsible for ensuring that all information provided during registration is complete and accurate.
The Retreats Collective Registration Form, including relevant health, dietary and emergency information, must be completed accurately and returned before the deadline communicated prior to the retreat.
Booking, payment and confirmation conditions applicable to the travel package are governed by Vawanda’s Terms & Conditions and the specific information provided to the guest at the time of booking.
Price & Payment
The price, payment schedule, deposit requirements and accepted methods of payment applicable to each retreat will be communicated during the booking process.
Where the retreat travel package is sold by Vawanda, payment conditions are governed by the applicable booking documentation and Vawanda’s Terms & Conditions.
Guests are responsible for any bank, currency conversion or transfer charges applicable to payments they make.
Cancellation or Amendment by You
Cancellation or amendment of a booking must be made in accordance with the cancellation and amendment procedure applicable to the booking with Vawanda.
The applicable cancellation fees, deadlines and refund conditions are those set out in the booking documentation and Vawanda’s Terms & Conditions;
Retreats Collective does not provide a separate or conflicting cancellation policy for the travel package.
Guests are strongly encouraged to purchase comprehensive travel insurance covering cancellation, illness, injury, travel disruption and other circumstances that may prevent them from attending or completing the retreat.
Failure to attend, late arrival, early departure or voluntary non-participation in part of the retreat does not automatically entitle the guest to a refund. Any applicable entitlement will be determined under the booking contract, Vawanda’s Terms & Conditions and applicable law.
Cancellation or Significant Change to the Retreat
Any cancellation of the travel package or significant change to an essential element of the booking will be handled in accordance with the applicable booking contract, Vawanda’s Terms & Conditions and applicable travel law.
Retreats Collective may make reasonable minor adjustments to the retreat programme where necessary, including changes to teachers, facilitators, class times, activity schedules, menus or the order in which activities take place.
Such adjustments may be necessary because of weather, health or safety considerations, teacher or practitioner availability, venue requirements or other operational circumstances.
Where a proposed change materially alters an essential element of the travel package, the matter will be handled in accordance with Vawanda’s Terms & Conditions and applicable law.
Guests are advised to ensure that any flights, additional accommodation or other independently purchased travel arrangements are appropriately insured.
Travel Arrangements
Unless expressly stated as included in the retreat package, transportation to and from the retreat destination, flights and other personal travel arrangements are the guest’s responsibility and at the guest’s own cost.
Guests are responsible for ensuring that they possess all passports, visas, travel authorisations, health documentation and other documents required for their journey.
Retreats Collective cannot control delays, cancellations or disruptions affecting independently arranged transportation.
Guests arriving before the official start of the retreat or remaining after its conclusion are responsible for their own accommodation, transportation and expenses unless expressly agreed otherwise.
Travel Insurance
Travel insurance is not included unless expressly stated otherwise.
We strongly recommend that every guest obtains comprehensive travel insurance appropriate to the destination and activities involved in the retreat.
Insurance should, where appropriate, include cover for:

trip cancellation or interruption
-
illness and injury
-
emergency medical treatment and repatriation
-
delayed or cancelled transportation
-
loss or theft of personal belongings
-
the activities the guest intends to participate in during the retreat.
Guests are responsible for checking that their insurance policy provides appropriate coverage for their individual circumstances.
Health & Personal Responsibility
Retreats Collective retreats may include yoga, movement, meditation, breathwork, walking, hiking, swimming, workshops and other physical or wellbeing activities, depending on the specific retreat programme.
Guests are responsible for assessing whether they are physically and mentally able to participate safely in the retreat and its activities.
Before the retreat, guests must disclose through the Registration Form any health condition, injury, allergy, pregnancy, medication, dietary requirement or other relevant circumstance that could reasonably affect their safe participation or require appropriate consideration by the retreat team.
Guests should seek appropriate medical advice before attending if they have any doubt about their ability to participate safely.
During any activity, guests must:

listen to their body and respect their own limits
-
follow reasonable safety instructions given by teachers, facilitators and activity providers
-
immediately stop participating if they experience pain, dizziness, significant discomfort, distress or other concerning symptoms
-
inform an appropriate member of the retreat team if they become unwell or injured.
Participation in physical and wellbeing activities may involve inherent risks. Each guest accepts responsibility for participating within their own capabilities and for communicating relevant concerns to the retreat team.
Retreats Collective does not provide medical or psychological diagnosis or treatment unless a specific service is expressly described and provided by an appropriately qualified professional.
Nothing in this section excludes or limits liability where such liability cannot legally be excluded or limited.
Medication & Medical Care
Guests remain responsible for bringing, storing and taking any personal medication they require during the retreat.
Retreats Collective cannot guarantee access to specific medication or medical facilities at the retreat location.
If a guest requires urgent medical assistance, Retreats Collective may contact emergency services or arrange reasonable assistance where possible.
Any medical, transportation or other associated costs not included in the retreat package remain the guest’s responsibility, subject to applicable law and insurance coverage.
Guest Conduct & Community Safety
Retreats Collective is committed to maintaining a safe, respectful and inclusive environment.
Guests are expected to respect the dignity, privacy, personal boundaries, property and wellbeing of other guests, teachers, facilitators, staff and venue personnel.
The following behaviour will not be tolerated:

harassment, including sexual harassment
-
threatening, intimidating, abusive or discriminatory behaviour
-
unwanted physical or sexual contact
-
violence or aggressive behaviour
-
conduct that places another person’s safety or wellbeing at risk
-
serious or repeated disruption of retreat activities
-
deliberate damage to the venue or another person’s property
-
serious or repeated disregard of reasonable safety instructions
-
behaviour involving alcohol or other substances that materially compromises the safety or wellbeing of the guest or others.
Retreats Collective reserves the right to take reasonable and proportionate action where a participant’s conduct creates a safety concern or seriously affects the retreat experience of others.
Where reasonably necessary, this may include asking the participant to stop an activity, temporarily removing the participant from an activity or, in serious circumstances, requiring the participant to leave the retreat.
Where a guest is required to leave because of serious misconduct or behaviour attributable to that guest, Retreats Collective is not responsible for the guest’s additional transportation, accommodation or other personal expenses, subject always to applicable law and the guest’s statutory rights.
Respect, Privacy & Confidentiality within the Group
Retreats can involve personal conversations and experiences.
Guests are therefore asked to respect the privacy of other participants and not to disclose another guest’s personal story, health information, experiences or other private information outside the retreat without that person’s permission.
Guests should not photograph, film or record another participant in circumstances where that participant could reasonably expect privacy without first obtaining their consent.
This community commitment is intended to create an environment in which guests can participate comfortably and respectfully.
Participation is Always Personal
Guests are encouraged to participate in the programme but are not required to participate in every activity.
Except where participation is necessary for safety reasons or expressly stated as an essential element of a specific programme, guests may choose not to participate in an activity.
Choosing not to participate in an included activity does not, by itself, create an entitlement to a refund or price reduction.
Guests participating in activities outside the official retreat programme do so independently and are responsible for assessing the suitability and safety of those activities.
Venues & Property
Guests must respect the retreat venues and its rules.
Any damage deliberately or negligently caused by a guest to the venue, equipment or other property may be charged to that guest where legally appropriate.
Guests remain responsible for their personal belongings.
Any loss, theft or damage should be reported promptly so that reasonable assistance can be provided.
Nothing in these Terms excludes any liability that cannot legally be excluded.
Any Problems During the Retreat
If a guest experiences a problem with any element of the retreat, we ask that they inform Retreats Collective as soon as reasonably possible while the retreat is taking place.
This is important because it gives the retreat team and, where appropriate, Vawanda or another service provider an opportunity to understand the issue and seek an appropriate solution.
Where the issue concerns a service included in the travel package, the guest should also follow the notification and complaint procedures set out by Vawanda.
Retreats Collective will make reasonable efforts to address concerns raised during the retreat where it is able to do so.
Raising a concern will never affect a guest’s right to make a subsequent formal complaint or exercise any statutory rights available to them.
Formal Complaints
Where a complaint concerns the booking, travel package or performance of a service forming part of the travel package, the guest should follow the complaint procedure provided by Vawanda.
Vawanda’s applicable complaint and dispute resolution provisions can be found in its Terms & Conditions.

We strongly encourage guests to raise concerns promptly so that relevant facts can be established and, wherever possible, an appropriate solution can be sought.
Liability
Retreats Collective takes reasonable care in organising and facilitating its retreats.
However, some aspects of a retreat involve risks inherent in travel, physical activities, group activities and unfamiliar environments.
Guests remain responsible for their own conduct, for respecting reasonable safety instructions and for participating within their individual capabilities.
Retreats Collective is not responsible for loss or damage resulting solely from:

the guest’s own acts or omissions
-
activities independently undertaken by the guest outside the retreat programme
-
a third party unconnected with the provision of the relevant retreat services, where applicable
-
circumstances outside Retreats Collective’s reasonable control, except where liability arises under applicable law and cannot lawfully be excluded or limited.
Nothing in these Terms & Conditions excludes, restricts or attempts to waive any liability or statutory traveller right that cannot legally be excluded or restricted.
Responsibility for the performance of services forming part of the travel package remains subject to the applicable booking contract, Vawanda’s Terms & Conditions and applicable French travel law.
Exceptional & Unavoidable Circumstances
Events outside the reasonable control of Retreats Collective may affect the operation of a retreat.
These may include, depending on the circumstances, severe weather or natural disasters, government restrictions, significant transportation disruption, epidemic or pandemic measures, civil unrest or other exceptional events.
The consequences of such events for the travel package, including any rights to cancellation, modification, refund or alternative arrangements, will be determined under the applicable booking contract, Vawanda’s Terms & Conditions and applicable law.
Photography & Video
Retreats Collective may take photographs or video during retreats for communication, editorial and promotional purposes.
Where a participant is identifiable and the material is intended for promotional or marketing use, Retreats Collective will seek the appropriate consent.
Guests will be given an opportunity to communicate that they do not wish to appear in promotional photography or video.
Where practical, this preference will be communicated to photographers, videographers and the retreat team.
Guests are also expected to respect the privacy and image rights of other participants.
Detailed consent for promotional use of a guest’s image may be collected separately through the Registration Form or another appropriate consent mechanism.
Personal Data
Personal information provided to Retreats Collective will be used for legitimate purposes connected with organising and delivering the retreat, communicating with guests, administering registrations and supporting guest safety and wellbeing.
Health, dietary or other sensitive information provided by a guest should only be collected and shared where reasonably necessary for the organisation or safe delivery of the retreat and handled with appropriate care.
Where Vawanda separately collects personal data for booking and travel administration, its own privacy terms apply to that processing.
Further information concerning Retreats Collective’s processing of personal data should be provided in the applicable Privacy Policy.
Retreat Programme & Facilitators
The published programme represents Retreats Collective’s intended programme at the time it is communicated.
The identity of a particular teacher, practitioner or facilitator, or the exact timing and sequence of activities, may occasionally need to change.
Retreats Collective may make reasonable substitutions or adjustments where necessary, provided that these do not materially change an essential characteristic of the travel package.
Significant changes affecting the travel package will be handled in accordance with the applicable booking contract, Vawanda’s Terms & Conditions and applicable law.
Third-party Providers
Some activities or services may be delivered by independent venues, teachers, practitioners, transportation providers or other third-party professionals.
Guests must comply with reasonable safety instructions and rules communicated by those providers.
The involvement of a third-party provider does not affect any statutory rights or responsibilities arising under the applicable travel package contract.
Acceptance of These Terms
By completing a booking and/or participating in a Retreats Collective retreat, the guest confirms that they have had the opportunity to read these Terms & Conditions.
Where applicable, the guest also confirms acceptance of the separate booking and travel conditions governing the package sold through Vawanda.
These Retreats Collective Terms & Conditions should therefore be read together with Vawanda Terms & Conditions.
and the specific booking information provided for the relevant retreat.
Applicable Rights
These Terms & Conditions are intended to operate alongside the mandatory rights available to guests under applicable law.
If any provision of these Terms is found to be invalid or unenforceable, that provision shall be interpreted or limited to the extent legally permissible without affecting the validity of the remaining provisions.
Nothing in these Terms is intended to deprive a consumer or traveller of any mandatory legal protection available to them.
